About the Australian Government’s Department of Foreign Affairs and Trade (DFAT)
The role of DFAT is to advance the interests of Australia and Australians internationally. This involves strengthening Australia’s security, enhancing Australia’s prosperity, delivering an effective and high-quality overseas aid program, and helping Australian travellers and Australians overseas.
The department provides foreign, trade and development policy advice to the Australian Government. DFAT also works with other Australian government agencies to drive coordination of Australia’s pursuit of global, regional, and bilateral interests.
About the position
Working in a small team environment, you will be providing support to the Accountant by being responsible for vendor and customer records, entering purchase orders and contract into SAP, processing invoices, timely reconciliation of accounts, assisting with preparation of month end reporting etc. as well as undertaking administrative tasks as an when required. A key focus of the role is also the coordination and interaction with internal and external partners.
The key responsibilities:
- Accounts payable and receivable including certification of accounts payable, issuing invoices and data entry in SAP.
- Cost recovery and reconciliation of staff expenditure on items such as utilities, telephone bills and representation.
- Accurately maintain supplier contracts and purchase orders in SAP.
- Contribute and complete financial reporting.
- Cash Desk: receipting direct credits and cash deposited in bank.
- Manage petty cash.
- Maintain vendor and customer master records.
- Prepare and assist with electronic banking transactions.
- Process general ledger transactions in SAP.
- Assist in other duties as required, including reception, filing, and general office duties.
Core Capabilities:

- Demonstrate initiative and self-direction in managing conflicting deadlines and difficult situations.
- Excellent attention to detail and the ability to maintain and process records.
- Strong verbal and written communication skills.
- Intermediate level experience with Excel is required.
- Experience with SAP would be advantageous but is not essential.

- Annual salary NZ$62,340 plus KiwiSaver employer contribution equivalent to 6% of salary.
